A tenant buildout in Maplewood is more than choosing finishes. It is the work that adapts a leased commercial space to the business that will occupy it. Retail, restaurant, and office projects each need a clear plan for how the space will function.
HG Development’s published portfolio includes bb.q Chicken Maplewood, a completed 2024 commercial project with tenant improvements, a commercial kitchen, millwork, and storefront work. The checklist below is general planning guidance for a new project; it is not a record of the permitting or contractual details of that completed job.
Document what the space includes today
Start with a site walk and a list of existing conditions. Gather available drawings and ask which systems belong to the landlord. Identify what can stay, what needs replacement, and what needs investigation before the team can price the work.
For a restaurant, discuss the equipment list and operating layout early. Cooking, refrigeration, dishwashing, storage, and service circulation affect more than the appearance of the room. The design and trade teams should assess the space against the proposed equipment rather than leaving those connections until installation.
Agree on landlord and tenant responsibilities
Create a responsibility table for the owner, tenant, designer, contractor, and equipment vendors. List who makes each decision, who pays for each part of the work, and who provides approval. Ask about access, work hours, shared building areas, and any landlord review of drawings or finishes.
Keep the construction scope aligned with the terms your business has agreed with the property owner. When lease language or responsibility is unclear, resolve it with the appropriate advisers before construction relies on that assumption. A contractor’s proposal should not be used as a substitute for clarifying the lease.
Confirm Maplewood’s application path
Maplewood’s building inspections application page lists building permits for construction and remodels, along with separate electrical, mechanical, plumbing, and sign applications. Ask city staff which applications apply to your specific tenant improvement.
If the work changes the building exterior, discuss planning review as well. The city’s minor construction review guidance describes an additional review process for qualifying commercial exterior improvements and recommends checking the correct application with a planner. A process name is not a promise that the whole construction project will be approved or completed in that many days.
Separate construction costs from opening costs
Build a project budget that shows construction, design, equipment, owner purchases, and a reserve for unresolved conditions. Make allowances visible so the team can explain how a selection changes the total. Ask whether freight, installation, testing, and vendor commissioning are included for equipment.
Also list business tasks that sit outside the contractor’s work: staffing, inventory, training, technology setup, and launch preparations. Those tasks still affect opening readiness. Assign an owner and a deadline to each rather than placing everything under one construction completion date.
Plan the handoff before the final week
- Maintain a current equipment and owner-supplied item list.
- Record the approvals and inspections that apply to the project.
- Agree on how incomplete work and punch-list items will be tracked.
- Identify which manuals, warranty information, and operating instructions are needed.
- Confirm who coordinates the transition from construction access to normal business operations.
